1. What these Terms cover

These Terms apply to (a) use of our website and (b) online bookings and payments made by parents/carers for a child to attend a day session (a “Session”).

By using our website or placing a booking, you agree to these Terms.

2. Who can book

Bookings must be made by a parent, carer, or legal guardian (or another adult with parental responsibility and authority to book).

You confirm that the information you provide is accurate and that you have the right to provide it.

3. Bookings and contract

  • Bookings are made through Wix Bookings on our website.

  • A booking is placed when you complete checkout and payment.

  • We will send a booking confirmation by email.

  • Your contract with us is formed when we accept the booking and send confirmation (or otherwise confirm the place).

If we cannot accept a booking (for example, if a Session is full), we will tell you and refund any payment taken.

4. Prices and payment

Prices are shown on the website and include VAT where applicable. [If you do not charge VAT, replace this sentence with: “VAT is not charged.”]

Payment is taken at the time of booking via Wix Payments.

We do not receive or store full card details. Your card payment details are processed by Wix Payments and/or its payment processing partners. We receive confirmation information such as payment status, transaction reference, amount and date/time.

5. Session details

Session details (including date, times, location, age range, what to bring, and any rules) are shown on the booking page and/or in your confirmation email and form part of these Terms.

6. Parent/Carer responsibilities

You agree to:

  • provide up-to-date emergency contact details

  • tell us about any relevant needs, allergies, or medical information before the Session

  • ensure your child is fit to attend and does not attend while unwell with a contagious illness

  • follow our drop-off and pick-up requirements, including authorised collection arrangements

7. Drop-off, pick-up and late collection

Drop-off and pick-up times are stated on the booking page and/or confirmation email.

Your child must be collected by an authorised adult. We may ask for photo ID.

If you are late collecting your child, we may charge a late collection fee to cover staffing costs. Our standard fee is £5 per 15 minutes (or part thereof). We will apply this reasonably.

8. Behaviour and safety

We aim to provide a safe, supportive environment. Children are expected to follow staff instructions and behave in a way that does not put themselves or others at risk.

If we believe a child’s behaviour creates a serious safety risk (including persistent unsafe behaviour), we may contact you to collect your child early and/or refuse future bookings, acting reasonably and fairly.

9. Medical needs and emergency treatment

Staff can only administer medication if this is agreed in advance and we have clear written instructions and consent.

In an emergency, we may seek medical treatment for your child and will make reasonable efforts to contact you immediately.

10. Photography and media

We may take photos/videos during Sessions for learning records and/or marketing. Your preferences will be managed via your consent form and/or booking form. If you do not consent, we will respect this and take reasonable steps to ensure your child is not included in marketing content.

11. Cancellations, changes, and refunds

You can cancel by emailing info@lancashirewildflowers.com with your booking details.

11.1 If we cancel or make a major change

If we cancel a Session or make a major change (for example, a significant change to time or location), you can choose a full refund or moving your booking to another available date (if offered).

11.2 If you cancel (our policy)

Unless we agree otherwise, our standard policy is:

  • 7+ days before the Session: full refund (less any non-refundable payment processing fees charged by Wix Payments, if applicable).

  • 3–6 days before: 50% refund or full credit towards a future Session (valid for 3 months).

  • Under 72 hours / no-show: no refund. You may request a discretionary credit in exceptional circumstances.

Refunds (where applicable) are returned to the original payment method via Wix Payments.

11.3 Illness

If your child is unwell, please notify us as soon as possible. Where illness prevents attendance, we may offer a credit at our discretion, especially where notice is given by [e.g., 8:00am on the day].

11.4 Statutory cancellation rights (online/distance sales)

Under UK consumer law, consumers often have a 14-day cooling-off period for online service contracts, but there are exceptions, including for leisure services booked for a specific date or period. Our Sessions are booked for specific dates. Where statutory cancellation rights apply, we will comply with the law. Where an exception applies, the cancellation policy above applies.

12. Our responsibility and limits of liability

Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded under law.

We are responsible for providing the Session with reasonable care and skill.

We are not responsible for loss or damage to personal items brought to the Session (we recommend clearly labelling belongings) or issues caused by information you did not tell us (for example, undisclosed allergies/medical needs).

13. Website use

You agree not to misuse the website, including attempting unauthorised access, uploading harmful code, or copying/reusing website content without permission.

We may suspend access to the website for maintenance or security reasons.

14. Privacy

We use personal data in line with our Privacy Policy on the website.

15. Complaints

If you have a complaint, please contact us at info@lancashirewildflowers.com. We aim to respond within 5 working days.

16. Changes to these Terms

We may update these Terms from time to time. The version on the website at the time you book will apply to that booking.

17. Governing law

These Terms are governed by the laws of England and Wales, and disputes will be handled by the courts of England and Wales.
